Overview of Candidate Packet Deadlines

This article explains the settings available for candidate packet deadlines and covers the definitions and rules for soft deadlines and hard deadlines in Review, Promotion & Tenure (RPT).

Overview of Candidate Packet Deadlines

When creating a template, Administrators have the option to enforce a candidate deadline date by selecting the hard deadline setting on the template creation page. When this setting is selected and the due date (indicated on the case creation page) has passed, the candidate's packet will be automatically submitted as-is and editing will be locked.

Soft Deadlines vs. Hard Deadlines

Deadline Type Description
Soft deadlines If soft deadlines are allowed, candidates can submit packets after the deadline.
Hard deadlines If the hard deadline option is set, candidates cannot submit after the deadline. The packet is automatically locked.

If a hard deadline is selected, any materials in the packet, or the empty packet itself, will be sent to the first step of the review process once the deadline has passed. The indicated Unit Administrator or Case Manager will receive a notification when the packet is automatically submitted.

 

Email reminder notifications are sent to candidates, reminding them that their materials are due, seven days and one day before the due date entered in (soft deadlines or hard deadlines).

 
 

How to set the deadline type within a template

  1. When editing or creating a new template, navigate to the Candidate Requirements page.
  2. Select Edit Packet Settings
  3. Select Soft or Hard Deadline

    The packet deadline type set here will apply to all cases created from this template.

     

    A hard deadline can only be set for the entire packet submission. Due dates set for individual packet sections are always soft deadlines. 

     
 
 

How to set a default deadline type for the institution

Institutional Administrators can set a default deadline type for the entire institution and indicate which users will be notified of automatic submissions. Regardless of this setting, deadline types can be changed for each individual template. Check out this article for more information.

Email reminder notifications are sent to candidates, reminding them that their materials are due, seven days and one day before the due date entered (soft deadlines and hard deadlines).

Automatic submission notification

When Unit Administrators edit deadline settings from the administration section of RPT, they can set up an automatic submission notification that will alert users with either or both of the roles of Unit Administrator or Case Manager.
