About the CV Importer
The CV Importer is an AI-powered tool that reads your CV and automatically extracts your activity data into FAR, saving you hours of manual entry. Simply upload your CV or paste its text, review the information identified by the importer, and choose which activities to add to your FAR record. The CV Importer currently supports Presentations data only. Additional activity types will be added in future releases. The CV Importer is available to IDS customers. Tips for best results
- Use a text-based CV rather than a scanned image. The importer reads text, not images.
- Make sure presentations are clearly labeled in your CV.
- Review your existing FAR record before importing to help prevent duplicate entries.
Import Your CV
Before you begin
- Make sure you have access to IDS within FAR.
- Prepare a PDF, TXT, or DOCX file no larger than 2 MB. Alternatively, prepare the CV text that you want to paste directly into FAR.
- Navigate to the CV Importer section within FAR.
- Select how you want to provide your CV data.
- Upload CV: Drag and drop or browse to select it.
- Paste presentation data: Paste text directly into the importer.
- Select Process CV. Processing typically takes 30-45 seconds. During this time the importer extracts text from your document, identifies presentations, maps the information to FAR activity fields, and prepares the activities for your review.
- When processing is complete, you'll be taken to the review screen where you can accept/reject the proposed activities.
If an issue arises, check that your file meets the supported format and size requirements. If the problem continues, contact your Interfolio Implementation or Customer Success representative and include the error message, if available.
Review and Accept Activities
The review screen displays the presentations identified by the importer. Review each activity carefully before adding anything to FAR.
- To review individual items, click the hyperlinked presentation title to review it in more detail and edit activity details such as Title, Status, Term, Term Year, and Conference/Event before accepting. You may also accept or reject the individual activity from this window.
- To review items in bulk, select the checkboxes next to the desired activities and then click the ‘Accept activities' or 'Reject' button from the toolbar.
Once you have reviewed all items, click the Mark import complete button to finish. An overview of your imported data will appear.
Only accepted activities are added to FAR. Nothing is saved without your explicit approval.
Troubleshooting
My file will not upload
Make sure your file is a PDF, TXT, or DOCX and does not exceed 2 MB. If it exceeds 2MB, remove images or appendices, or use the paste option instead.
The importer did not find some of my presentations
The importer may miss entries that are ambiguously formatted or not clearly labeled. Any missed activities can be added manually to FAR in the usual way.
An activity was mapped incorrectly
You can edit the activity details during the review step, before accepting. If the activity cannot be corrected, reject it and add the activity manually to FAR.
I see duplicate entries in FAR after importing
Deduplication against existing FAR records is planned for a future release. In the meantime, faculty should check their existing FAR record and reject any items the importer finds that already exist.
Processing is taking longer than expected
Processing typically takes 30-45 seconds, although the time may vary depending on the file size. If processing fails to complete, try again or contact your administrator.
AI processing and data privacy
The CV Importer uses AI to extract and structure activity data from your CV. It does not make autonomous decisions. Every extracted activity must be reviewed and explicitly accepted before it is added to your FAR record. No AI model has been trained specifically on CV Importer data. The tool was evaluated using academic CV benchmarks and sanitized, institution-provided CVs. Subject-matter experts reviewed the outputs as part of the evaluation process. CV processing runs on Elsevier-approved infrastructure and model services. Processing is temporary and occurs primarily in the United States. CV data is not permanently stored outside Interfolio. Your CV content is processed only to extract activity data. It is not used to train AI models or shared with third parties.
