Release Notes: July 1, 2026

This week’s release includes fixes and enhancements across Faculty Search (FS), Review, Promotion & Tenure (RPT), and Faculty Activity Reporting (FAR). In FS, we resolved issues affecting workflow step display after resubmission, improved error handling for large EEO report downloads, and ensured inherited approvers populate correctly on new positions. In RPT, we fixed an issue that caused errors when sending multiple external reviewer requests at once. In FAR, we added styling control for Vita Names and resolved issues affecting grouping order, Activity Classification filters, citation URL display, CSV import reliability, and error reporting, improving consistency, accuracy, and usability across vita management and data import workflows.

 

Faculty Search

  • Fixed: We resolved an issue in Faculty Search where moving a position backward in the approval workflow and then returning it to the approval process caused the Current Step section to display a raw template expression instead of the position's step details. Administrators can now view accurate step information, including who has access at each stage, after positions are sent back and resubmitted through the workflow.
  • Fixed: We resolved an issue in Faculty Search where downloading the EEO Forms Report for a large number of positions caused the browser to display a "This site can't be reached" error with no in-app feedback. We've added a clear error message that reads "Report is too large to download. Try selecting fewer positions and downloading in smaller batches." The download button now returns to its default state after the error, and no partial or corrupt file is downloaded. Note: the report size limit itself has not changed, downloading in smaller batches remains the recommended approach for large datasets.
  • Fixed: We resolved an issue in Faculty Search where inherited approvers were silently dropped from newly created positions when the workflow template was cloned during position creation. Affected positions were missing the expected committee members at the relevant workflow steps, requiring manual intervention to add them back. Inherited approvers now populate reliably on new positions for all affected tenants.

Review, Promotion & Tenure

  • Fixed: We resolved an issue in Review, Promotion & Tenure where sending multiple external reviewer requests simultaneously resulted in a "406 Not Acceptable" error. Previously, administrators attempting to send two or more external reviewer requests at once would encounter this error, leaving requests in an uncertain state and raising concerns about duplicate notifications being sent on retry. Administrators can now send multiple external reviewer requests in a single action without error.

RPT Enhanced Manage Required Committee Form Respondents: Institutions can now better manage committee form requirements with more flexible assignment and completion controls:

  • Set a minimum number of required responses from Committee Managers or Committee Members, allowing workflows to progress once the threshold is met
  • Choose respondent type more precisely by assigning forms to either Committee Managers or Committee Members
  • Bulk omit requirements at the case level, reducing manual effort when managing respondents

These updates reduce delays caused by rigid completion rules and minimize the need for manual intervention, helping cases move through review workflows more efficiently while supporting more flexible participation models (e.g., optional respondents).

 

Faculty Activity Reporting

  • Enhancement: We added the ability to control the styling of the Vita Name in Faculty Activity Reporting vita templates. Previously, the Vita Name and Description rendered in a very small font that did not match the template's heading or paragraph styles, in both the interface and PDF and Word exports. Administrators can now configure the Vita Name through a dedicated "Vita Name" option in Edit Template Styling, and the Vita Description now follows the template's Paragraph styling, producing consistent, readable formatting across vitas.
  • Fixed: We resolved an issue in Faculty Activity Reporting where sections in a Vita Builder template grouped by an Activity Classification did not display the groups in a consistent order. Previously, the grouping order varied from one faculty member's vita to another and did not follow the order defined in the Activity Classification setup. Grouped sections now consistently follow the defined order of the Activity Classification values, matching the legacy vita and ensuring uniform structure across all generated vitas.
  • Fixed: We resolved an issue in Faculty Activity Reporting where an Activity Classification filter applied to a Vita Builder section did not limit the activities shown on the vita. Previously, vitas displayed all activities regardless of the filter, including records that should have been excluded. Vita templates now correctly display only the activities that match the configured Activity Classification filter value, across all display styles.
  • Fixed: We resolved an issue in Faculty Activity Reporting where deselecting the "Include URL in output citation" option for a scholarly activity did not prevent the URL from appearing in the citation on the new Vita Builder. Previously, the URL continued to display in the vita output even when the option was turned off. When this option is unchecked, the URL is now correctly omitted from the citation output on vitas.
  • Fixed: We resolved an issue in the Faculty Activity Reporting faculty CSV import where malformed rows — such as a blank trailing row or a row with a mismatched number of columns — could cause an entire import to fail. Previously, affected tenants experienced repeated import failures with no successful uploads. Malformed rows are now handled gracefully and skipped, allowing the rest of the import to complete successfully.
  • Fixed: We improved failure handling in the Faculty Activity Reporting CSV import process to prevent uploads from being left in an unresolved state and to capture more error detail. Previously, certain job-level failures could leave an upload stuck as "pending" or "processing," or mark it as errored without recording structured error details, causing Faculty180 to show a generic failure with no explanation. These failure paths now consistently mark the upload as errored and record structured error information, giving administrators clearer feedback when an import cannot complete.
