Create and Manage Message Templates
In Faculty Search (FS), Administrators and Committee Managers can create reusable message templates for communications sent when changing a position or application status. Templates provide consistent sender information, subject lines, and message content while still allowing the message to be reviewed and edited before it is sent. A Message Template can be used to:
- Notify applicants when a position moves from Accepting Applications to Reviewing Applications.
- Contact selected applicants when their Application Status changes from Longlist to Shortlist.
- Provide interview instructions, requested-material deadlines, or other next steps.
Message Templates do not send automatically when a status changes. The user changing the status must choose to send a message, select the template, review its recipients and content, and confirm the action.
A message sent with an Application Status change goes to the selected applicants. A message sent with a Position Status change goes to all submitted applicants associated with the position, including archived applicants.
Create Message Template
- Navigate to the Administration page, select the Message Templates tab, and click the Add button under Templates. You can edit or delete existing message template from this page as well.
- Complete the Add New Message Template form and click Save when finished.
Use these text variables in the Message field to automatically fill in the applicant's information:

Phone Interview Confirmation
Hello %ApplicantName%,
Thank you for your interest in the [POSITION TITLE] position at [INSTITUTION NAME]. This email confirms your phone interview with [RECRUITER NAME] on [DATE] at [TIME]. The recruiter will call you at [PHONE NUMBER] to begin the interview. Please allow 20-30 minutes. Feel free to contact me if you have any questions or if I can be of further assistance. In-Person Interview Confirmation

Pre-Selection Rejection

General Rejection
