Create/Edit Institutional Vita Templates

Only Administrators with Full Administrative Rights who have been given access to the Vita Setup page based on their administrative unit assignments will be able to create and edit any institutional vita template at their assigned units, and any units beneath theirs in the unit hierarchy.

 

If an admin edits a vita template after faculty have started using it, the previously entered data will remain intact. When faculty re-pull their vitas, the output will reflect the new formatting while preserving their existing data and potentially incorporating any new edits made by the faculty since the last pull.

 

Create/Manage Vita Templates

  1. Navigate to the Setup page and click Institutional Vita Templates under the Configuration section.

  2. The Institutional Vita Templates page will display where you can view all Institutional Vita Templates, including both Active and Archived Templates in a tabbed view.

    • Status Column: Templates with the Status ‘Published’ are available for use, while ‘Draft’ are not accessible until published.

    • Manage Existing Templates: You can check the boxes next to the desired template(s) to ‘Archive,’ ‘Publish,’ or ‘Edit’ the template from the navigation bar that appears at the top.
  3. Click the +Create New Template button at the top of the page to open the Create New Institutional Template page.

  4. Fill out Step 1: Select Template then click Continue to navigate to Step 2: Linked or Unlinked.
    • Linked Template: Changes to the source (reference) template apply to all linked and nested reference templates. Administrators can modify units and settings during creation, and linked templates can be customized (show/hide sections, reorder, update styling).

      Source templates are not locked and updates to the source template will override these customizations.

       
    • Unlinked Template: Changes to an unlinked template do not affect other templates, and subsequent changes to the source template do not apply. While it inherits the source template's unit and settings, it remains independent and does not update with source changes.
  5. When finished, click Continue to navigate to the Step 3: Template Settings

    If the template is shared with others, the Vita Template Name and Vita Template Description will be visible.

     
  6. Configure the Display Settings to apply formatting across all sections of a vita generated from the template. The default options can be found below.

    New Autogeneration Feature

    Institiutonal Administrators in FAR now have the ability to indicate whether to share vitas with faculty! If “Show to faculty” is selected, the vita will automatically appear as a link on the list of institutional vitas to which the faculty have access.

     
  7. Click Save as Draft or Create and Publish when finished. Once published, the template will be available to users from the designated unit for creating vitas. Draft templates can be previewed, edited, and rearranged in the Template Builder, appearing with the status "Draft," while published templates are marked as "Published."

Once a Vita template is created, users can preview it, edit its General Information and Styling, and modify, reorder, copy, or hide its sections.
