Manage Faculty Appointments
When you go to make an appointment for a faculty member in Lifecycle Management (LM) be sure to consider the structure of events within the series template you are selecting. The series template assigns the standardized progression of events to advance through the ranks that was created at the series template level based on the selected unit and rank during appointment creation. Additional events or adjustments to the populated events can be made after creation to reflect unique circumstances on an individual faculty basis.
Check out this article on how to import appointment data in bulk for additional guidance.
Create New Faculty Appointment
- Navigate to the Faculty page from the navigation menu and select the desired faculty member's name to navigate to the profile.

Administrative users can filter the faculty list to narrow down the results and take actions in bulk from this page.
- The faculty member's profile page displays their Appointment Information in the upper right-hand corner including the appointment name, unit, appointment ID, start date, contract expiration, status, and type.

When an appointment is created with a future start date, it will automatically be tagged as ‘Upcoming.’ Once the start date arrives, the status will automatically update to 'Current.' This update runs daily.
Appointment ID is system generated and used to make bulk appointment adjustments.
- Select Add Appointment from the ‘Actions’ dropdown to create a new appointment.
- Select the unit, series, and rank of the faculty appointment. The series that populate in the dropdown are based off the unit assigned to the series during template creation.
- After selecting the rank, the option to Apply a Professional Journey will appear.

Check out this article about Timelines and Professional Journeys for a deeper explanation of how applying a professional journey impacts the timeline that appears on the profile page. Applying a professional journey populates all ranks and events from that series at once, giving a full view of long‑term progression. If the journey is not applied, LM only displays the events for the faculty member’s current rank, keeping the timeline focused on where they are today.
- You can also identify the title, start date, contract expiration date, position ID, employee type, and compensation tied to the appointment.
- Scroll down to the Workload section where you can select a Workload Model from the available list of templates created.

Once the appointment is created, you can go back to adjust the workload allocation for individual faculty in unique circumstance.
- Click Save when finished.
Once an appointment is created, it reflects the series template as it exists at that time. Later changes to the series template do not retroactively update existing appointments. These changes will only affect future appointments created with that series template. To make changes to existing appointments, you must do so from the individual faculty's profile. Changes to appointments from the faculty's profile will only impact that faculty member, not other faculty members with appointments tied to the same series template.
Manage Existing Faculty Appointments
From the faculty member’s profile page, select the hyperlinked appointment name to open the full appointment record. Here you can view all appointment details in one place, including the workload allocation if one has been added. Click the Edit button in the window that appears on the right-hand side to:
- Update Appointment Information: Administrators can make changes to the appointment title, contract expiration date, position ID, employee type, compensation, notes and files.
- Add Individual Events: Administrators can add individual or exception events to customize a faculty member’s career timeline, providing flexibility for special circumstances while keeping other faculty journeys unchanged.
-
Customize Workload Allocation: Adjust workload allocation to reflect unique circumstances (such as special assignments or exceptions) for individual faculty members directly on their profile.
All of the above changes apply only to the selected faculty and do not alter the associated institutional workload model for others.
