Web Profile Data Review and Validation for Faculty Members
For Interfolio users preparing to launch their Interfolio Faculty Web Profile (WP) site, it is important for faculty members to review and update their own profile and activity data to ensure accuracy prior to the site going live.
Most of the data that shows on your Web Profile is pulled directly from your Interfolio Faculty Activity Reporting (FAR) account. Therefore, to make updates or changes to your data, you will do so by logging into your FAR account to review and edit your data on the Profile and Activities pages.
Data syncs occur nightly, so it may take up to 24 hours before you see the changes made in your FAR account reflected on your Web Profile.
Homepage: Your Matched Activities
Once logged into your Faculty Activity Reporting account, select Home on your left-hand navigation and scroll down to the Matched Activities section.
✔ Review all Matched Activities from the Interfolio Data Service (IDS)
Review your matched activities from IDS to ensure all data has been added to your account.

Profile Information
Select Profile from the left-hand navigation menu to complete the following checklist items:
✔ Complete your biography
Biographies are one of the first sections displayed on the faculty members' web profile pages. This space should be used to summarize the scholar's work, awards, and interests.
Note that although not every institution calls this Biography, there should be some type of narrative section.
- On the Profile page, select the dropdown for Biography
- Select Edit.
- Enter your biography and select Save.
✔ Upload your profile image
Add/Edit Web Profile Picture
Adding faculty profile images will enhance the overall look of the institution's Web Profile page and each individual's profile page. The steps below go through how to add, edit, or remove a web profile picture.
Add FAR/Web Profile Picture
- Log in to your institution's FAR account
- Select Profile from the left-hand navigation
- Select Personal Information to expand the section.
- Select Edit under the Personal Information section.
- Select the plus icon on the default thumbnail image.
- Select the photo from your computer to upload.
JPG and PNG files are accepted with a maximum file size of 1 MB.
- Click Save when finished.
Edit/Remove Web Profile Picture
- Follow steps 1-4 above
- Select Delete on the existing photo to remove it. You will then be able to select the plus icon on the default thumbnail image to select a new profile picture if desired.
- Click Save when finished.

Hide, Display, or Update an Activity Shown on Your Web Profile
Your institution will decide which data (by section) from FAR will be displayed on Interfolio Faculty Web Profiles. Faculty can then hide specific data or activities from being displayed on their Web Profile when Adding/Updating Activities by following the steps in this article.

Hide, Display, or Update an Activity Shown on Your Web Profile

Expand each section within the Profile Form and review your information. Some information may be locked. If you need to update locked information, reach out to your institutional administrator or HR director.
Activity Data
Select Activities from the left hand navigation menu to complete the following checklist items:
✔ Complete all open initiated input forms
Select the button Go to Activity Input Request within the yellow box to view any open Activity Input Request forms.

✔ Update statuses, years, and descriptions for scholarship and grant data
1. Activity Status
Update your activity statuses.
It is essential that all faculty members review their scholarship and grant data to confirm it is up to date and accurate. Your institution will indicate which scholarship and grant data should show on the Web Profile site based on the activity's assigned status. For example, your Web Profiles page may display scholarships with the status completed/published, and not display any scholarship with the status submitted.

2. Year
Confirm the Year field is filled out for each activity.
Some institutions may require this field. If the field is not required and is left blank, you will see a “999” filled in on your web profile for the record's year. Updating this field will correct that error.
3. Description
For users with premium profiles, your Fingerprint information will be displayed on your Profile page. Fingerprint information is a summarized reflection of your activity descriptions.
Ensure your descriptions accurately reflect the work you completed. It is recommended to keep your description/abstract between 150-300 words.

What is my “Fingerprint”?
Fingerprints are key concepts based on the titles and descriptions for scholarship, grant, and profile data in FAR. These concepts provide a quick snapshot of the key themes / topics covered by the content and can be used during search and filtering.
How to Optimize Your Fingerprint
To generate the fingerprint, the content needs to have a title and a description providing an overview of the content piece. At the moment, there is no restriction on the number of words that must be included, but we recommend a title of 5-15 words and a description/abstract of 150–300 words would produce a good fingerprint. Please note that there is no need to shorten your description if it is longer and the system will take all of the available content into account (not just the first 300 words).

Why does my web profile show a “999” for the year of one of my records?
If the Year field is left blank for the record within your FAR account, a 999 will appear on your web profile. Update the year field on your activities page and you will see the update reflected on your web profile within 24 hours.
