Create/Manage Positions
A position in Interfolio Faculty Search (FS) contains the information and settings used to publish a faculty position, collect applications, and support applicant review. Authorized Administrators and Committee Managers can configure positions within their assigned units. Before you begin, gather the approved position information, application requirements, search committee membership, review settings, and publication details.
Best Practices When Creating a Position
- Administrative Settings: Before creating a position, confirm that the applicable statuses, message templates, EEO information, application forms, position settings, and disposition codes have been configured for the appropriate unit. Completing these settings in advance ensures the correct options and institutional requirements are available during position creation.
- Deadlines: To ensure applicants are reminded, it is recommended to set a specific close date, instead of a rolling deadline, which triggers an automated email reminder seven and one day before the position closes, for those who have not submitted.
- Qualification & Application Instructions: It is recommended to separate out qualification and application instructions to make your description more readable.
- Letters of Recommendation: If you don’t want to require confidential letters from all applicants initially, conduct a multi-stage search.
- Optional Documents: To make a requirement optional, add it first, then set the required number to zero so applicants can submit without completing it.
- Edit In Use Document with Caution: When editing required documents and application forms, any changes after the position opens may affect the complete/incomplete status of applications.
- Archive Applicants: Archive applicants no longer being considered to prevent them from seeing the ‘Incomplete Application’ status.
Create a Position
- Navigate to the ‘Positions’ page and click the +New Position button to create a new position.
- The 'Create Position' page will appear where you will select the position Type and Unit, as well as whether you would like to create a brand new position or create a clone from an existing position. Click Create when finished.

Cloning Positions
Cloned positions remain in the same unit as the original, and any new forms added to the original must be manually added to the clone. It is recommended to update the Position Title to differentiate it from the original.
The following areas do not pull the data from the cloned position over into the new position: Salary, Open Date, Search Committee Membership, Position ID (or Requisition Number), Position Term Length, Funding Source, Hiring Plan and General Notes (including file attachments).
Confirm the unit and position type before creating the position
These selections determine which institutional settings and approval template apply. Once the position is created, its unit cannot be changed. To place it in another unit, you must recreate the position from the beginning. A position without applications can be deleted and recreated in the correct unit. However, if applications are attached, the position cannot be deleted; it can only be closed or archived. Deletion is permanent, and deleted positions cannot be recovered.
- From here you will be taken to the ‘Basic Information’ page, the first step in the configuration process. Expand each section below for guidance on completing the remaining position settings.
Basic Information
The ‘Basic Information’ page contains the core applicant-facing information for the position. Complete all the fields required by the institution before clicking Save & Continue.

- Position Title: Enter a clear title that identifies the rank or appointment, discipline, and hiring cycle when appropriate.
- Location: Enter the location where the work will primarily occur. Use a campus, city, or other location name that external applicants will understand.

Salary Range or Pay Grade: Enter the institutionally approved minimum and maximum salary for the position.
Administrators can configure salary information as required or optional and determine whether it is applicant-facing or internal only. If applicant visibility is enabled, entered salary details are visible to applicants from the ‘Apply Now’ page. If visibility is disabled, salary information is available only to authorized internal users.
- Open Date: Determines when applicants can begin an application. If the position is published before a future open date, applicants will be unable to apply until that date.

Deadline: Select a specific or rolling deadline according to how the institution intends to accept and review applications.
- Specific: Establishes a fixed close date for the position. The deadline is 11:59 p.m. EST on the selected date. After the deadline, applicants who have not submitted will be unable to edit or submit their applications. You can always modify the close date if necessary.
It is recommended to set a specific close date when the search has a defined application period. A specific close date triggers automated reminder emails seven days and one day before the position closes for applicants who have started but not submitted their application.
- Rolling: Allows the position to continue accepting applications without a fixed close date. Choose this option when applications will be reviewed continuously or the position will remain open until filled.
- Specific: Establishes a fixed close date for the position. The deadline is 11:59 p.m. EST on the selected date. After the deadline, applicants who have not submitted will be unable to edit or submit their applications. You can always modify the close date if necessary.
- Position Description: It is recommended to include a concise summary of the opportunity with a description of the primary responsibilities associated with the position.
- Qualification: Enter the education, experience, credentials, and capabilities applicants should possess.

Application Instructions: Explain what applicants must do to complete and submit their application.
It is recommended to separate out qualification and application instructions to make your description more readable.
To add advanced formatting, click the three dots on the toolbar. Click the Tx icon to remove formatting from the selected text.
- Advertising Settings: Select how the position should be advertised. This setting determines the position’s discoverability, not whether it has been published.

EEO Statement: The institutionally approved Equal Employment Opportunity (EEO) statement for the position’s unit is displayed here for review.
The statement cannot be edited during position creation. If the appropriate statement is not available, an administrator can update it under Administration Settings.
Required Documents
The ‘Requirements’ page defines the materials applicants must provide to complete their applications, along with any optional materials they may submit. Configure each requirement according to the institution’s review needs before clicking Save & Continue.

- Click +Add Requirement to open the ‘Add Document Requirement’ window. Select the document type and specify the exact number of attachments applicants must provide. You may also add a requirement note with additional instructions, such as expected content, formatting guidelines, or a submission deadline. Click Save to add the requirement to the position.

To make a requirement optional, set the ‘Number Required’ to 0.
- Continue adding requirements until all required and optional application materials have been configured.

When a 'Confidential Letter of Recommendation or Evaluation' requirement type is selected, applicants provide information for their letter writers, and Interfolio sends each writer a request to submit the letter directly. The applicant does not upload the confidential letter themselves. If you don’t want to require confidential letters from all applicants initially, conduct a multi-stage search.
- Use Additional Application Options to determine whether applicants may upload unlimited supplemental documents and whether they receive a custom message after submitting their application.
An institutionally configured message template can be selected for the post-submission message.
Evaluation Settings
The ‘Evaluation Settings’ page defines the criteria evaluators use to rate applicants on a 5-star scale and identify whether ratings are completed using blind review. Configure these settings according to the institution’s evaluation process before clicking Save & Continue.

- Click the +Add Criterion button to open the ‘Add Evaluation Criterion’ window. Enter the criterion name to creating rating categories for evaluators. You can add as many evaluation criteria as needed to support the position’s review process.

A criterion can only be deleted if all associated ratings have been cleared by evaluators. If it’s still in use, an error message will appear. To delete the criterion, first remove any existing ratings, then proceed with deletion.
- Once all criteria have been added, determine whether to enable Blind Review. When blind review is enabled, evaluators can enter their own comments and ratings but cannot view those submitted by other evaluators. Leave this option unselected if evaluators should be able to see one another’s feedback.
Blind Review applies only to evaluators. Administrators and Committee Managers retain full access to all evaluator comments, ratings, and the Committee Summary column. Blind review can be enabled during the independent evaluation period and disabled later when the committee is ready to discuss and compare its feedback.
Application Forms
The ‘Application Forms’ page defines any additional forms applicants must complete and determines whether an Equal Employment Opportunity (EEO) form is included. Add the forms needed for the position’s application process, review any institutionally required forms already applied, and then click Save & Continue.
Application forms are created and managed under Administration Settings and cannot be created during position setup. At this step, you can select from the forms available to the position’s unit. Any form designated as required for that unit is automatically added to the position and displays a Required label.

To collect applicant Equal Employment Opportunity (EEO) information, check the ‘Applicants must complete an Equal Employment Opportunity form’ box and choose the appropriate form, if one is not already applied. 
EEO forms can be configured for the institution or a specific college or department to support authorized institutional oversight and reporting. Applicant responses are visible only to users with EEO access and are not available to committee members.
Every form added to a position must be submitted before an applicant can complete the application. However, adding a form does not automatically make every question within it required. Applicants must answer only the questions designated as required; if none are required, they can submit the form without entering any information.
Search Committee
The ‘Search Committee’ page identifies the users who will participate in applicant review for the position. Add the appropriate committee members and designate any Committee Managers according to their responsibilities in the search. Review the committee assignments before clicking Save & Continue.
Committee membership applies only to this position and does not grant standing administrative access.

Click the +Add Member or +Add Manager button to start assembling the search committee for this position. Search committee members cannot access the position until it is assigned a Position Status configured to allow committee members to view it.
Before a user can be added to a search committee, they must first be added to the institution. If the desired user cannot be found it may be because they need to be assigned the Committee Manager Role on the Users & Groups page.
Edits can be made to search committees at any time.
Position Notes (Public and Internal)
The ‘Position Notes’ page captures internal information used to manage the position, including appointment details, funding information, hiring plans, general notes, and committee resources. Information entered on this page is visible only to institutional users and is never shown to applicants. Add any details or file attachments needed for internal tracking and committee collaboration before clicking Save & Continue.

The options in the ‘Appointment Type’ dropdown are hard-coded and cannot be changed.
Position Summary Page
The ‘Position Summary’ page provides a final review of the position’s configuration and current state. Confirm that the applicant-facing information, requirements, evaluation settings, application forms, search committee, and internal notes are accurate.

Click Edit next to the desired section to make further changes. When the position is ready, submit it for approval if required. The responsible administrator will be notified by email and upon logging into the program. Edits can still be made while awaiting approval. A notification will be sent once the position is approved or if changes need to be made to the position.

Once approved, assign the appropriate Position Status and publish the Apply Now page.
Ensure the Apply Now landing page is published before the open date, as the position must be published for applicants to apply, even if set to Private.
Manage Existing Positions
After a position is created in FS, Administrators and Committee Managers can return to update its configuration, manage applicant and committee access, or change its availability to applicants. Before making changes, consider how the update may affect existing applications, institutional approvals, and reporting.
From the Position Summary page, select Edit Position under the ‘Position Actions’ dropdown to make changes to the position details and structure, or select the name of an applicant to view and manage their application.
Important Considerations When Managing Positions
- Committee members can be changed easily at any time.
- Status and requirement changes do not notify applicants. Changing an applicant’s Application Status or adding a new requirement does not send an automatic notification. Bulk email applicants to communicate the change and provide any necessary instructions or deadlines.
- When editing required documents and application forms, any changes after the position opens may affect the complete/incomplete status of applications. If a new requirement is added and the applicant is permitted to edit, the application will move from Completed to In Progress in Dossier and display the new requirement.
- Archive applicants no longer being considered to prevent them from seeing the Incomplete Application status.
- Once a position is created, its assigned unit cannot be changed. To place it in another unit, you must recreate the position from the beginning.
FAQ
Can Faculty Search support a multi-stage search?

Why am I seeing the FS error message: "Validation failed: User Sorry! User is not a valid committee manager"?
This error typically occurs when creating a position using a template that includes an approver whose access or role has changed. If any step in the position or selection approval process contains an outdated approver, the system will block the creation of the position and display this error. To resolve the issue, the Institutional Administrator must update the template to ensure that all approvers have the correct access and roles. The system does not indicate which specific step is causing the error, so it's recommended to review each approval step individually until the problematic one is identified.
